Virtually every process in your business involves paper at some point. By digitising the paper when it arrives, it can be processed electronically within your business removing the limitations and risks of using and storing physical documents around the organisation.

 

The easiest way to understand it is to describe a Use Case of a transaction moving through the end to end system:-

Post will be received via PO Box routing to the EDM Mailroom (Outsourced Service) where it will be prepared, scanned, data captured and indexed by document type. The resulting images are stored in our hosted document management system, EDM online, and a workflow folder is initiated in the Correspondence Routing process for each mail item.

 

The Process Selector will use business rules to determine one or more specific handling processes which need to be used to handle the mail item. Phone and internet correspondence can also initiate processes through this route. If a mail item falls outside of business rules it will be sent to the Generic In Tray for manual processing or process selection. Otherwise the work is allocated to the appropriate queues via the Work Allocation module which will load balance and distribute work.

Specific business processes will guide the user through handling of the item based on the designed process and it will talk to other systems to read and write data as necessary through the Integration Layer.

 

Where an outgoing correspondence is required, either ad-hoc or automated, the EDM Correspondence Generator will provide the template and format to be merged with customer data to form a letter or email to corporate standards which, if required, can be reviewed by the users before sending.

 

The output will be sent to the EDM Printroom (Outsourced Service) for printing, packing (with additional inserts if required) and posting. All generated correspondence will also be stored in EDM online as part of the customer file to provide total record management.

 

Users will access all aspects of the system via the EDM Dashboard which provides functionality by role. Work queues, reports, dashboards and admin functions are all available through this interface.

 

Search and document retrieval are available for all documents via EDM online. Full audit trails are available for all processes via Business Process Management.
